Nextcloud vs Google Drive, priced out: when per-user Google bills lose to one flat server, when Google still wins, and the work self-hosting adds.

Nextcloud vs Google Drive is really a question about how you want to pay for storage: per person, every month, or once for a server everyone shares. Google Drive is rented space in Google's data centers. Nextcloud is free software that turns a server you control into the same thing: file sync, sharing, calendars, and contacts. For some people Google is the better deal, and we will say which ones.

What Google Drive costs, by who is paying#

Google sells Drive two ways. Households buy Google One. Businesses buy Google Workspace, which bills per user. As listed on Google One and Google Workspace pricing in October 2026:

Month-to-month Workspace billing runs about 20 percent higher than the annual rate. The key column is the last one. Google One is shared across a household. Workspace is not; every new hire is a new line on the bill.

What self-hosting Nextcloud costs#

The Nextcloud server is open source under the AGPL, and the desktop and mobile clients are free. Nobody charges you per user. What you pay for is the server, and it is a flat monthly price whether five people use it or twenty-five.

Nextcloud is not demanding. Its admin manual asks for PHP 8.3 or newer, a MySQL, MariaDB, or PostgreSQL database, and recommends 512 MB of memory per PHP process (a worker that handles one request at a time). In practice we suggest 6 GB of RAM or more so the database, workers, and thumbnail previews never fight for memory. Where the math flips#

Run the numbers for two real cases.

A family of four with 1.5 TB of photos. Google One's 2 TB tier covers everyone for about $10 a month. A server with that much disk costs more. Google wins on raw storage per dollar for households, and we would not talk you out of it. Nextcloud only makes sense here if keeping the photos on a disk you control matters more than the price.

A ten-person office with 60 GB of shared files. Workspace Business Standard is about $140 a month and climbs with every hire. The F40 in the table above holds that library, with room to grow, for one flat price. Most office libraries are smaller than people think; spreadsheets and contracts are tiny next to photos. This is where Nextcloud wins clearly, and the gap widens as the team grows.

The rule we use: Nextcloud pays off when you are billed per user and your files are measured in gigabytes, not terabytes. Google pays off when one shared plan covers everyone and the library is huge. If you outgrow local disk, Nextcloud's External Storage app can mount S3-compatible object storage alongside it.

The work you take on with Nextcloud#

  • A domain and HTTPS. Clients connect to an address like cloud.example.com. Start with pointing a domain at your VPS, then put TLS in front of it.
  • Updates. Nextcloud ships updates regularly, and security fixes should not wait. The official All-in-One Docker container keeps the pieces together and makes upgrades routine; start with Docker and Compose.

  • Office editing. Google Docs is built in. Nextcloud gets real-time editing from Collabora Online or ONLYOFFICE, which want more CPU and memory. That is why we point editing teams at the P40.

Is Nextcloud cheaper than Google Drive?
For teams billed per user, usually yes, because one server covers everyone at a flat price. For a household sharing a single Google One plan, usually no; Google's bulk storage is hard to beat on price per terabyte.

Can Nextcloud replace Google Docs?
For most teams, yes. Install Collabora Online or ONLYOFFICE from the Nextcloud app store for shared editing of documents, spreadsheets, and slides. Give the server more CPU and memory once editing is a daily habit.

Is Nextcloud as reliable as Google Drive?
